    Star Kids Scholarship Program: Administrative Assistant

    The Star Kids Scholarship Program provides tuition scholarships and funding for related educational supports (tutoring, books, uniforms, after-school programs, summer camps, and more) to low-income, at-risk children in grades K – 12 with a parental history of incarceration and/or substance abuse. The goals of the program are for each child to graduate from high school, be in a better position to pursue post-secondary education and break the intergenerational cycle of poverty, drug use, and incarceration.

    Newport/Fall River Star Kids Scholarship Program seeks an Administrative Assistant to become a vital member of our team. In this pivotal role, you will provide efficient administrative support to ensure the smooth operation of our busy non-profit office. With core skills in computer literacy and Microsoft Office, you will contribute to our goal of empowering children through education.

    Job Responsibilities

    Correspondence

    • Prepare and edit documents
    • Prepare and track donor acknowledgment letters
    • Assist with annual donor reports
    • Prepare and distribute acceptance packages to families
    • Assist with Board meeting agenda preparation and distribution

    Organization

    • Develop and maintain filing systems; physical and virtual files
    • Maintain our grant calendar
    • Order office supplies

    Database

    • Create new accounts for constraints and students; update as needed
    • Run reports

    Scheduling

    • Assist with scheduling board meetings and sending meeting invitations via Microsoft Outlook

    Communication

    • Answer phone calls and respond to emails
    • Handle program inquiries
    • Maintain school contact lists

    Support

    • Provide administrative support to the executive director and other staff members
    • Assist students and families as needed
    • Assist with fundraising events and student/family events as needed

    Successful candidates will possess the following skills and characteristics:

    Highly organized, able to multi-task, proficient in Microsoft Office, experience with Microsoft SharePoint a plus, detail-oriented, database experience a plus, a team player, positive attitude, and a desire to help the students and families in our program.

    Requirements:

    Two years' experience as an administrative assistant or office manager

    Job Type: Part-time

    Expected hours: 20 – 35 per week

    Schedule:

    • Day shift
    • No weekends

    Experience:

    • administrative assistant: 2 years (Preferred)
